How to Plan a Realistic Start Date for an Italian Work Visa
Last modified on November 5, 2026 • 5 min read • 1,006 wordsThe most common mistake in an international move is promising a start date before the permit route is clear. The candidate resigns, gives notice on the flat, books flights, and then the file waits for a document from a university registry on another continent.
Here is how to build the plan backwards, with honest buffers.
Start from the route
Everything depends on whether the case is a Blue Card or a quota permit .
- Blue Card: no quota, and a legal 30-day deadline for the nulla osta. The variable parts are your documents and the consulate.
- Quota permit: you depend on application windows set by the Decreto Flussi and on places being available for your nationality group. The calendar of the decree drives everything.
The pieces of a Blue Card timeline
Think of the timeline as five blocks.
- Documents. Degree certificate, transcripts, experience letters, passport, and for the family marriage and birth certificates. Documents issued outside the EU usually need legalisation or apostille and a certified Italian translation. A CIMEA comparability statement can replace the declaration of value for degrees. This block is often the longest, and it is entirely in your hands: start it the day the offer is likely.
- Contract and filing. The Italian employer drafts the contract and files the request. With an Employer of Record this takes days, not weeks, once the salary and role are fixed.
- Nulla osta. Up to 30 days by law.
- Consulate. Appointment availability varies widely by country and city. Remember that the nulla osta has a limited life for the visa application (six months according to the Embassy in Beijing), so do not let it sit.
- Arrival. Stay contract, residence permit application, tax code, registration. The start date can be set once the stay contract is booked.
We do not publish average durations for blocks 4 and 5 yet, because they vary by consulate and by city in Italy; we will add figures from our own cases when we have enough of them.
Buffers that are worth it
- Two weeks between visa and flight. Visa collection, last bank and tax tasks at home, packing.
- A soft first week in Italy. The first days go to appointments. Starting payroll on day one is possible, but plan the workload lightly.
- A range, not a date. Tell the employer and your current landlord a window. Narrow it as each block closes.
What slips most
- A degree certificate whose name spelling differs from the passport.
- An experience letter that lists dates but not tasks and level, which weakens a Blue Card based on experience.
- A salary changed after filing, for example to add a bonus, which then does not match the application.
- Family documents started late, which delays the reunification file.
Working while you wait
Waiting for the visa does not mean losing income. If your current employer is the one sending you to Italy, you keep working from your home country until the move. If it is a new employer, a short notice overlap with the old job can often be arranged. What you should not do is start working from Italy on a tourist entry: that creates immigration, tax and contribution problems for you and the company.
The quota case
For a quota permit, add a layer at the start: the application window and the allocation of places. Prepare everything before the window opens. If the place does not come through, the next allocation may be months away, so keep the Blue Card option under review: a salary adjustment can sometimes move a case from one route to the other.
Summary
Route first, documents second, filing third. Count the consulate and arrival as the variable parts. Give everyone a range. Tell us about your case and we will propose a timeline with the documents to start today.
The usual next questions
Should I resign before the visa? Only when the nulla osta is issued and the consular appointment is booked. Until then, keep your options open.
Can the employer pay me during the wait? If you already work for the company, yes, under your current contract at home. The Italian contract starts with the stay contract in Italy.
Who tracks the deadlines? We do, from the filing to the permit renewal. You get a single timeline with dates and owners for each step, updated as each block closes.
What if the consulate has no appointments? Tell us immediately. The nulla osta has a limited life, and we can check whether the consulate offers priority slots or alternative ways to submit.
